Job description

PURPOSE OF FUNCTION

Secure sustainable sales and growth of income for Ikano Centres by ensuring all Letter of Offers, License Agreements, TIF, Tenant fit out plan, As Built plan, TMF, RAS and RWAS are executed and updated.  To monitor and upkeep all documentation and information of the tenants and tenant sale performance data and documentation are in compliance to the tenant management SOP.

PURPOSE OF THE JOB

  1. Timely preparation and execution of Letter of Offer, License Agreement, RAS, TMF, and RWAS
  2. Documentation of tenant fit out plan, TIF and as built plan
  3. Administer and manage TMS in terms of updating, monitoring and generate reports
  4. Data analysis sales performance of the tenants
  5. Preparing tenant circular & letter
  6. Support evaluation process on market sales potential and consumer survey
  7. Supporting Tenant Management Department administration works

ASSIGNMENT

Tenant Management

  1. Oversee tenancy administration, on-time stamping and payment of deposits related to license agreement
  2. Coordinating between tenant and CMO for operational issues.
  3. Administrate POS integration and generate tenant sales report and occupancy cost ratio for Management analysis.
  4. Contribute a strong database of potential & existing tenants to master tenant database.
  5. Filing and documentation of Tenant Management department documents.
  6. Monitoring and following with critical tenant credit control issues

Admin Support (Matrix Centres)

  1. Liaise and coordinate with Marketing/ Finance in CMO to ensure timely execution of tenancy documents, hand-over of leased units or/from tenants & accurately update the lease system.
  2. Liaise with Operation/Facilities in CMO to ensure all tenant correspondent letter send out on time
  3. Coordinate between service office and CMO to ensure smooth execution of lease processes and operations and ensure all documentations are complete and in accordance to SOP.

Qualification

Essential

  1. 3- 5 years working experience in Leasing Administration or Tenant Management function, within a shopping centre environment
  2. Excellent communication and computer skills with good knowledge of using spreadsheets, excel and database software
  3. Professional, well organized, reliable and meticulous
  4. Able to handle confidential and sensitive materials discreetly
  5. Able to work independently and under pressure, able to multi-task.
  6. Good command of English, both spoken & written

Preferred

  1. Min. Advanced Diploma or Bachelor degree in Real Estate or related discipline together
  2. Experience in a group leasing administration role from an established Shopping Centre developer is beneficial.
  3. Any form of legal training or conveyancing practice will be useful.
  4. Proficient in Mandarin / BM preferred.
  5. Knowledge of POS and TMS system (using TMS database for lease reporting)
  6. Able to travel when required (min. 2 times a year)
